The Difference Between a Planner & Coordinator

Wedding planners and wedding coordinators exist to turn your wedding vision into reality. Let’s dive into the role of wedding planners vs. day-of coordinators, and talk about the responsibilities of the go-to person on your wedding day.

The reality is that weddings can be super stressful. Everything’s on a tight schedule, vendors are rushing around, and guests are looking for the bathroom. It’s why we (planners/coordinators) love what we do. We want to make your day stress-free, so you can soak up every moment.

So what is the difference between a wedding planner and a day-of coordinator anyway? Simply put, planners work with you through the entire wedding planning process, while day-of coordinators manage the logistics on the wedding day.

Coordinators

Day-of coordination is the ideal choice for couples who have handled most of the planning themselves but want a professional to manage the final stretch — and execute the actual wedding day.

Most day-of services begin 8 – 10 weeks before the wedding. At that point, your coordinator steps in to review your vendor contracts, confirm logistics, finalize your timeline with you, and make sure every detail aligns.

On the wedding day, your coordinator runs the show — communicating with vendors, handling setup, managing the timeline, solving problems, and keeping everything flowing smoothly.

Think of it this way: you plan the wedding, and your coordinator makes it happen.

Partial & Full Planners

Partial & Full planning is a more hands-on experience that starts earlier in your engagement — often 3–4 months before the wedding (sometimes even sooner).

You still have creative control and make the big decisions, but your planner helps you through the process. They might recommend trusted vendors, review design ideas, track your budget, or assist with key milestones like the seating chart or rentals.

Partial & Full planners are your guides during the planning journey, offering professional insight and organization to ensure no detail is overlooked. As your day approaches, they transition into full coordination mode, ensuring every plan is executed perfectly.

The Key Differences

While both roles share the same goal — a stress-free, seamless wedding day — here’s how they truly differ:

Timeline of Involvement: Partial & Full planners start months in advance; day-of coordinators typically starts closer to your wedding date.

Level of Involvement: Partial & Full planning offers ongoing support during the planning process, while day-of coordination focuses primarily on the final month and event execution.

Vendor Relationships: A partial & full planner will be the main contact for you vendors, providing information to the couple as needed; a day-of coordinator works with vendors you’ve already booked.

Design and Decision Guidance: Partial & Full planning often includes light design consultation or planning check-ins. Day-of coordination sticks to execution and logistics.

Investment: Since partial & Full planning includes more time and guidance, it usually comes at a higher price point than day-of coordination.
